Have you ever wondered what information LU holds about you? Have you ever thought it might be incorrect?
Did you know that under section 7 of the Data Protection Act 1998 you are entitled to see and have your own copies of information that is about you or which refers to you;things like you references, job applications, notes kept during recruitment interviews, or sickness and attendance records?
Requesting information.
I searched and searched the internet and most of the information about what are called subject access requests is directed at employers, I could find very little of value for workers requesting access to their personal data.
However, there is a form available – which I have attached – which is the application for the information. Some companies will accept a letter requesting the information, but LUL prefers you to fill out a form.
You have to be specific about the information you request. Section 5 of the form "Information Required" is where you list the information you want, but if, like me, you require a copy of everything about you or which refers to you, you might want to use wording similar to:
Please provide me with copies of all documents (including email) about me or which refer to me as Mr. Public; Mr Joe Public; CSA Joe Public; CSA Public, and any documents (including email) which refer to me by my employee number (insert number), or any document, email or information in other formats which is about me or which refers to me by any means by which I can be identified, and to which I am entitled to have copies under the Data Protection Act 1998, which has been collected and/or held prior to and since the commencement of my employment on (insert the date you started work) up to the present day, in particular any information that relates to applications for employment, employers references, recruitment and promotion, and data refering to attendance, performance, and absence, and all information held by London Underground Occupational Health.
You can be asked to pay up to £10 for this information. However should you require copies of information from LUOH you may be charged up to £40.
